The decision to make

A qualified lead matches the services, territory, and practical requirements the business accepts. The definition should be written clearly enough that two people reviewing the same inquiry usually reach the same result.

Agree on acceptance criteria

Start with service fit, location, timing, and any real project minimum. Avoid collecting unnecessary personal detail. Separate an unsuitable request from a suitable customer who simply chose another provider. Keep unknown as a valid temporary status when the office has not reached the person.

Use a small disposition list

A practical starting list is new, contacted, qualified, unsuitable, booked, completed, and lost. Add reason codes only when they inform a decision, such as unsupported service or outside territory. Assign one owner to maintain the record. Preserve the original inquiry date and source so later status changes can be connected to acquisition.

Close the marketing feedback loop

Review qualified rate by service and destination alongside cost. Low qualification may point to the wrong queries, misleading page copy, or an overly broad service area. A high qualified rate with few bookings may point to response time, estimating, or offer fit. Make the change that corresponds to the actual stage.

What to check before calling the work complete

  1. Write the acceptance criteria.
  2. Keep unknown separate from unsuitable.
  3. Assign a record owner.
  4. Connect stage changes to the original inquiry.

A practical question

Does qualified mean sold?

No. Qualification describes fit. Booking, completion, and revenue are later stages and should retain their own evidence.
